Job Description

Job Title: Maintenance Assistant

Grade: EVH Grade 6 (PA17 – PA20)

Reporting to: Housing Services Manager

1. Objectives

  • To be a member of and provide administrative and clerical support to the Maintenance Team in the delivery of a responsive, high quality and cost effective service.
  • To contribute to the improvement and development of the maintenance service.

2. Duties

  • Providing an efficient, courteous and sensitive service to the Association’s tenants and the general public.
  • Receipt of notification of repairs, identification of repair type, trade and category, allocation of contractor and response time.
  • Creation and issue of works orders to tradesmen and arrangement of appointment times when required.
  • Administering the Defects reporting procedures for new build property.
  • Monitoring and updating computerised data and manual records relating to the property repairs, planned maintenance, major repairs and life cycle costing programmes.
  • Administering the quality control monitoring system of pre and post inspection reports, identifying any problem area incurring repeat work and reporting regularly to the Maintenance Officer.
  • Checking and processing contractors and suppliers invoices for correct authorisation, payment and allocation of appropriate budget headings.
  • Checking and processing contractors performance returns.
  • Collating performance returns and monthly expenditure information for inclusion in monthly reports to Committee.
  • Preparation and administration of contractors tender documentation.
  • Correspondence with tenants or residents concerning rechargeable repairs, common charges and access arrangements for the entire range of maintenance and repair work.
  • Liaison with the Housing Management and Finance Sections regarding the factoring procedure.
  • Liaison with Housing Management and Finance Sections regarding processing and monitoring insurance claims.
  • Liaison with Housing Management and Finance Sections regarding processing and monitoring rechargeable repairs.
  • Ensuring the maintenance filing system is up-to-date and that adequate supplies of general and computer stationery are always available.
  • Ensuring that all keys are continuously accounted for and securely stored.
  • Maintaining an effective level of information provision and communication with the other sections of the Association and external organisations.
  • To undergo training identified in the appraisal process.
  • Administration and monitoring of Gas Management procedures and collating information for inclusion in monthly reports to Committee.
  • Administration and monitoring of Cyclical Repairs policy and procedures and collating information for inclusion in monthly reports to Committee.
  • Contribute to the continuous development and improvement of maintenance procedures and ensure they are reviewed to reflect practice.
  • Giving appropriate and sensitive advice to tenants and others on all aspects of maintenance including their right to repair, maintenance responsibilities, rechargeable repairs, notice, access, consultation etc.
  • Any other duties relating to the smooth running of the Section with particular reference to the Association’s Maintenance Policy and Procedures or as determined from time to time by the Head Of Housing Services or Chief Executive.

  • Can demonstrate a knowledge of asbestos management, gas management regulations and electrical safety inspections


  • Possession of a relevant professional or technical qualification in the built environment or can clearly demonstrate technical knowledge and ability through experience
