Job description
PRINCIPLE RESPONSIBILITIES
To provide administrative support to the Housing Services Team, specifically to the Housing Officer responsible for retirement housing, hostels and special needs projects.
To deliver excellent customer service to Parkhead Housing Association tenants and customers.
The Housing Assistant will report directly to the Housing Manager who is ultimately responsible for the Housing Assistant’s workload but will take instruction from other members of the Housing Services Team, including Housing Officers and the Senior Housing Officer.

CORE OBJECTIVES

Actively promote a culture that underpins the Association’s values that is instilled both in the decisions made by and the behaviours of all colleagues and individuals who represent the Association.

MAIN TASKS
Provide administrative support to the Housing Services Team with aspects of estate management, tenancy management, arrears, allocations and anti-social behaviour complaints as required.
Support the Housing Officer responsible for retirement housing, hostels and special needs projects with meetings and group activity.
Provide daily morning calls to the retirement housing tenants.
Provide administrative support to the PHA’s Registered Tenant’s Organisation (RTO) and any other tenant and resident groups. This includes but is not limited to preparing agendas, minutes and papers for meetings.
Liaise with retirement housing tenants and GCC CHSCP regarding telecare invoices as required.
Assist in the planning and organisation of events for the RTO and attend events as required.
Assist the Housing Services team by implementing the Association’s Estate Management Policy and Procedure to improve the quality of life of those living in the area with regard to the built environment and the wider environment by: conducting regular estate, close and back court inspections.
Work in close partnership with all stakeholders in the area to achieve the objectives set out in the Association’s Estate Management Policy.
Cost allocate Parkhead Development Company (PDC) and other estate management invoices.
Provide cover for the Housing Assistant in relation to allocations and housing options matters, processing of housing application forms, daily rental income postings and account adjustments.
Implement the Association’s Former Tenant Rent Arrears Policy and Procedure to ensure that all cases are actioned timeously.
Prepare bad debt cases for write off throughout the year, and support the Housing Manager in this investigation and exercise annually.
Produce Ad Hoc reports for managers, Sub Committee and Board as required.
Process tenant satisfaction survey data / data collected from annual and new tenant visits to ensure records are accurate and up to date.
Provide support to the Housing Services Team by answering general enquiries via telephone, email, duty officer cover etc.
Implement the Association’s Tenant Participation Policy by promoting tenant information, consultation and involvement and feedback on tenant’s views on the services provided.
Maintain appropriate manual and computerised records, systems and procedures.
Attend meetings in relation to the Association’s work at evenings or weekends, as required.
Carry out any other reasonable duties as directed by the Housing Manager or any other Manager.
